Terms and Conditions

1. Definitions

  • Client: The individual or entity making the booking and responsible for payment.

  • Cardiff City Centre: The base postcode for Cardiff City Centre is CF10 1EP.

  • Trio: Refers to the Guild String Trio, the Musicians providing the performance services.

  • Calendar Month: A period of time beginning on a specific day in one month and ending on the same day in the following month.

  • Engagement: The scheduled performance or event for which the services of the Trio have been contracted.

Includes:

  • Date and time of performance

  • Location or venue

  • Outdoor performance notice (clause 4 applies)

  • Duration, repertoire, and special conditions

2. Booking and Payment Terms

  • Deposit: £50 non-refundable.

  • Balance: Payable in full no later than 2 calendar months before the engagement. Failure may result in cancellation with no refund of deposit.

3. Cancellation Policy

  • More than 2 months before: Refund minus deposit.

  • 1–2 months before: 50% of remaining balance payable.

  • Less than 1 month: Full remaining balance payable.

4. Performance Conditions

  • Outdoor Performances: Client must provide sufficient cover to protect instruments from heat, rain, wind, snow. If no cover is provided, the Trio may refuse to play outdoors with no refund.

  • Seating Requirements: Client must provide armless chairs for performers.

5. Arrival and Access

  • The Trio will arrive 45–60 minutes before scheduled performance. Venue access must be available upon arrival.

6. Food Requirements

  • For Platinum Package bookings or durations exceeding 4 hours, Client must provide food and refreshments.

7. Travel Expenses

  • Engagements more than 50 miles from Cardiff City Centre will incur 55p per mile (return journey) after the first 50 miles.

8. Music Requests

  • Must be submitted at least 2 months before the engagement, and no later than 14 days prior.

  • Bespoke arrangements may attract additional fees and are subject to copyright restrictions.

9. Recording of Performance

  • Recordings allowed for personal use only.

  • Recordings may not be shared on social media without Trio’s consent.

10. Performance Breaks

  • For performances over 2 hours, the Trio will take a 15-minute break. Breaks will be scheduled to avoid disruption to the event.

11. Substitution of Performers

  • If a member is unavailable, the Trio may substitute with another professional musician without affecting quality.

12. Additional Performers

  • If upgraded to a quartet, the additional performer(s) will be of the highest calibre to maintain performance quality.

By booking the Guild String Trio, the Client agrees to these Terms and Conditions.
